Parish Secretary - St Joseph’s Parish – Newport & Spotswood, Melbourne

Part-Time | 15 hours per week (Wednesday, Thursday & Friday)

St Joseph’s Parish is a vibrant Catholic community located in Melbourne’s Inner West, encompassing Sacred Heart, Newport and St Margaret Mary’s, Spotswood. Our vision is to be a dynamic and growing faith community that welcomes all to encounter the living presence of Jesus Christ.

We are currently seeking a dedicated and enthusiastic Parish Secretary to support the daily operations of the Parish Office and contribute to our mission. This is a part-time opportunity suited to someone who is passionate about working within a faith-based environment.

The successful applicant will collaborate with the Parish priest, bookkeeper and volunteers to serve the community of St. Joseph’s Parish. Terms and conditions are governed by the Archdiocese of Melbourne.

KEY RESPONSIBILITIES

  • Parish reception responsibilities and administration support to the Parish Priest, including welcoming visitors, answering phone, preparation of correspondence, maintenance and filing of records, ordering supplies
  • Manage the Parish calendar, assisting with bookings for weddings, funerals, baptisms, Mass intentions and other appointments required by the Parish Priest.
  • Assist with preparation for weekly Masses (e.g. bulletin, Powerpoint) and actively support the Parish priest in the day-to-day operation of the Parish, ensuring a strong pastoral focus in line with the Parish mission.
  • Liaison with the Parish Pastoral Council (PPC), offering assistance in the implementation of its various initiatives.
  • Parish Safeguarding Coordinator – in collaboration with the Parish Safeguarding Committee, maintaining accurate and orderly digital files and archives as appropriate for child safety records and statistics as required by CAM. Understand and assist in the process for reporting allegations or concerns of possible abuse.
  • Support for volunteers – prepare rosters and, in collaboration with the PPC, provide assistance to Parishioner Teams in animating, supporting and coordinating the gifts and talents of parishioners for the good of the Parish.
  • Understand and assist in process for reporting of Risk Management and Occupational Health and Safety.

ABOUT YOU

You are a welcoming and reliable team member with a heart for service and a strong commitment to the mission of the Church. You will also have:

  • Excellent interpersonal, written and verbal communication skills
  • Strong time-management and organisational abilities
  • Experience in administration or secretarial roles
  • Confidence using Microsoft Office; experience with PACEM software is desirable (training can be provided)
  • High level of integrity, discretion, and a collaborative spirit

ESSENTIAL REQUIREMENTS

  • Valid Working with Children Check
  • Valid National Police Check
  • Current Driver Licence
