Parish Secretary, St Mary of Immaculate Conception

There is an opportunity for an experienced secretary to undertake office admin functions at the Williamstown Catholic Parish.

The successful applicant must be well motivated to work for the Church and ideally possess a strong commitment to its practices and values. He/she must be able to recognize and respect the pastoral aspect of the parish and an understanding of liturgy/sacraments would be advantageous.

This is a part-time (on-going) role working 16.5 hours per week on a Tuesday, Thursday and Friday. The successful applicant will work with the Parish Priest, Parish Staff and volunteers. Terms and conditions are governed by the Archdiocese of Melbourne.

Key Responsibilities:

  • Paying and remitting bills as required.
  • Maintaining and administering the Parish Stewardship Program.
  • Responsibility to undertake the banking.
  • Reception – welcoming all on site visitors and assisting or directing them to where they need to be.
  • Answering incoming telephone calls and either addressing queries where possible or directing the caller.
  • Monitoring voice mail boxes and email box to ensure that queries are responded to in a timely fashion.
  • Ensuring all office equipment is in good working order.
  • Ordering of church supplies, accepting delivery and maintaining records of goods and services.
  • Maintaining and administering PACEM system.( Training provided).
  • Manage Parish Website.
  • Provide administrative support pertaining to Parish groups and ministries as required including assisting the Safeguarding team with WWWC and Code of Conduct.
  • Attend meetings as requested.
  • Other tasks as directed by Parish Priest.

Key Requirements:

  • Good written and verbal communication skills with ability to relate to a variety of people.
  • Ability to build positive and collaborative relationships with others.
  • Confident working knowledge of Microsoft office application (including Word, Excel, Outlook, PowerPoint, Publisher.) PACEM a bonus, but training will be provided.
  • Demonstrated commitment to the mission and values of the Catholic Church.

Other Relevant Requirements:

  • Working with Children Check.
  • Police Check
  • Annual acknowledgment of the expectations and responsibilities outlined in the Safeguarding Children and Young People Code of Conduct.
  • Successful completion of the Catholic Archdiocese of Melbourne’s Safeguarding Essentials online training module annually.
  • Valid Driver License.
