Part-Time | 16 hours across 3 days per week | Permanent Role

ABOUT THE ROLE

The purpose of the Parish Coordinator is to oversee the effective and accurate management of records and administrative services provided to the Parish.

We are seeking a highly organised, professional, and personable Parish Co-ordinator to be the welcoming face and vital administrative support of our parish. Working closely with the Parish Priest, office team, and dedicated volunteers, the Parish Co-ordinator plays a vital role in supporting the mission and daily operations of the parish. This is more than an administrative position—it is a ministry of service that calls for professionalism, discretion, and a deep respect for the faith and values we uphold.

KEY RESPONSIBILITIES

Office Administration & Reception

  • Serve as the first point of contact for all visitors, providing a professional and welcoming presence at the parish.
  • Manage incoming calls, emails, and correspondence, directing enquiries appropriately and maintaining clear communication channels.
  • Oversee general office operations including supply ordering, mail distribution, equipment maintenance, and coordinating building access and security.
  • Administer bookings and usage of parish facilities such as the Hall and Parish Centre.

Clerical & Pastoral Support

  • Provide administrative and secretarial assistance to the Parish Priest, including diary management, appointment scheduling, and preparation of parish bulletins and communications.
  • Coordinate liturgical rosters for weekend Masses in collaboration with clergy and volunteers.
  • Assist in financial tasks such as counting, banking, and record reconciliation in conjunction with the Parish Bookkeeper.
  • Ensure adequate stock levels of office and liturgical supplies.

Records & Compliance Management

  • Maintain accurate digital and physical records for sacraments including baptisms, marriages, deaths, confirmations, and first communions.
  • Manage compliance documentation for staff and volunteers, including Working With Children Checks and safety standards.
  • Update parish databases, remembrance book, and copyright/music licensing records.

Community & Stakeholder Liaison

  • Work closely with internal parish groups such as the Finance Committee, Pastoral Leadership Team, and Advisory Council to support parish functions and initiatives.
  • Liaise with volunteers and produce biannual rosters and contact lists.
  • Build and maintain collaborative relationships with external bodies including the Catholic Archdiocese of Melbourne’s HR, Finance, and Safeguarding teams.

Carry out other duties as required to support the mission and daily operations of the parish, as directed by the Parish Priest.

KEY ATTRIBUTES & REQUIREMENTS

  • Strong administrative and organisational skills with the ability to multitask effectively.
  • Excellent verbal and written communication.
  • High level of confidentiality and discretion.
  • Proficiency with Microsoft Office Suite and general office technology.
  • Ability to work independently and collaboratively within a faith community.
  • Experience in a church, school, or not-for-profit environment is desirable.

ADDITIONAL REQUIREMENTS

  • A current Police Check (within the last 3 months).
  • A valid Working with Children Check (Victoria).
  • A current Driver’s Licence.
