Parish Secretary, St Macartan's Catholic Church

There is an opportunity for an experienced Parish Secretary to undertake office administrative functions at the Parish of St Macartan’s in a permanent part-time role reporting to the Parish Priest. The role of the Parish Secretary will be to build solid relationships and work collaboratively to provide support to the Parish Team, Volunteers and Parish Schools.

The successful applicant must be well motivated to work for the Church and ideally possess a strong commitment to its practices and values. He/she must be able to recognise and respect the pastoral aspect of the Parish and an understanding of liturgy/sacraments would be highly advantageous.

This permanent part-time position is based at the Parish Office at 4 Drake Street, Mornington. This requires the secretary to work 26 hours per week across 4 days- Tuesday to Friday. The successful applicant will work with the Parish Priest, any assistant Priest, and volunteers. Terms and conditions are governed by the Archdiocese of Melbourne.

Key Responsibilities

  • Provide secretarial and office support services to the Parish Priest, Assistant Priest, and the Parish community.
  • Manage the Shared Calendar of appointments and events for Parish Priest and Assistant Priest.
  • Maintain all Parish Registries for Baptism, Marriage and deaths and respond to enquiries on these matters and refer families to the appropriate Parish team member.
  • Assist with the parish website updates.
  • Maintain orderly digital files and archives as appropriate.
  • Assist when required the Parish Finance Officer in the maintenance of the Stewardship Program and other programs Assist with the training of new employees and volunteers in the office.
  • Actively supporting the Parish Priest in the day-to-day operation of the parish. This also includes helping operate the Audio-Visual system in the Church during weekday funerals (training provided).
  • Preparing the Bulletin each week (Which includes Liturgical responses and rosters), as well as printing and emailing to Parishioners.
  • Maintaining Contacts lists for all the volunteer groups and approved suppliers.
  • Conduct all church bookings for weddings, funerals, Baptisms, Mass intentions including any appointments required by the Parish Priest and Assistant Priest, and ensuring they are in the calendar.
  • Receive and process invoices and payments (including monitoring CDF for all activity in bank accounts.
  • Collect counters box weekly and generate figures for Thanksgiving (including liaising with bookkeeper).

Key Requirements

  • Good written and verbal communication skills with ability to relate to a variety of people.
  • Ability to build positive and collaborative relationships with others.
  • Confident working knowledge of Microsoft office application (including Word, Excel, Outlook, PowerPoint, Publisher). PACEM and XERO a bonus, but training will be provided.
  • Demonstrated commitment to the mission and values of the Catholic Church
  • Develop and maintain a sound working relationship with volunteers and coordinate the volunteer groups where necessary ensuring a strong pastoral focus in the parish.

Bookkeeping (PACEM and XERO): Working in conjunction with our Parish Bookkeeper.

  • End to End bookkeeping processing, including accounts payable and receivable activities, monthly bank reconciliation, journal entries.
  • Process Sundry Receipts
  • Management and Administration of Parish Thanksgiving Program, Envelopes, Credit Card, and Direct Deposit Payments

Future skills - Not essential now, but desirable

  • Complete BAS at the end of each Quarter
  • Complete End of Year Financial Statement to Catholic Archdiocese

Other Relevant Requirements

  • Working with Children Check
  • Police Check (new Check required)
  • Annual acknowledgement of the expectations and responsibilities outlined in the Safeguarding Children and Young People Code of Conduct.
  • Successful completion of the Catholic Archdiocese of Melbourne’s Safeguarding Essentials online training module annually.
  • Valid Driver Licence
  • Privacy and confidentiality agreement to be accepted.
