Parish Coordinator, Our Lady of Perpetual Help & The Catholic Parish of Our Lady of Fatima

The partnering parishes of Our Lady of Perpetual Help (Dromana) & The Catholic Parish of Our Lady of Fatima (Rosebud) are seeking a part-time Parish Coordinator to work 15 hours per week working Wednesday to Friday. This is a newly created role which marks a step in the way of both parishes working together collaboratively as a community.

The primary purpose of the role of Parish Coordinator is to manage the functions of the office including, administrative responsibilities that enable the Parish Office to run effectively, efficiently and professionally at all times. The role is collaborative partnership with the other team members and key stakeholders in providing support as required.

The role of the Parish Coordinator is a facilitating one between the Parish Priest, Parishioners & community, Schools and CAM Support Service Departments, such as Administration, Information Technology, Accounting, Building & Property and Human Resources.

The aim is to support Priest by identifying and addressing operational needs.

KEY ACCOUNTABILITIES

  • Ensuring all visitors/callers/emailers receive a positive first impression of our ParishManage Parish and Parish Priest diary
  • Management of the Parish Office including all filing and providing Secretarial and Clerical assistance to the Parish Priest across a range of areas.
  • Records Management including data entry into PACEM and ensuring Compliance with both Church and Government requirements.
  • Acting as a Parish representative externally as required
  • Ensure Parish IT operations are effective and efficient and to assist in the review and ongoing implementation of PACEM and IT systems
  • Review Compliance (WWCC, PRC and Child Safe Standards) and workplace safety and manage these records
  • Review and Management of Essential Services and Parish Register
  • Co-ordination of volunteer groups, preparation and distribution of rosters and meetings
  • Preparation of the weekly Parish Newsletter, printed and online and Parish Website
  • Liaise with and support relevant liturgy co-ordinators and prepare liturgy material as required
  • Receive calls in relation to baptisms, weddings and funerals and advising of process
  • Work in conjunction with Parish Finance Officer as appropriate
  • Liaise with both parish schools, especially Principals and REL’s, to ensure that both Parish Newsletter and Website reflect the life of each school and the community.
  • Other duties as directed by the Parish Priest

SKILLS FOR SUCCESS

  • A confident working knowledge of Microsoft Office
  • Familiarity with the Software package PACEM

OTHER REQUIREMENTS

  • Valid Working with Children Check
  • Police Check
  • Annual acknowledgement of the expectations and responsibilities outlined in the Safeguarding Children and Young People Code of Conduct.
  • Successful completion of the Catholic Archdiocese of Melbourne’s Safeguarding Essentials online training module annually.
