Parish Secretary, St Macartan's Catholic Church


There is an opportunity for an experienced Parish Secretary to undertake office administrative & bookkeeping functions at St Macartan’s Parish in a part time role reporting to the Parish Priest. The role of the Parish Secretary will be to build solid relationships and work collaboratively to provide support to the Parish Team and parish volunteers.

The successful applicant must be well motivated to work for the Church and ideally possess a strong commitment to its practices and values. He/she must be able to recognise and respect the pastoral aspect of the Parish and an understanding of liturgy/sacraments would be highly advantageous.

This permanent part-time position is based at the Parish Office in Mornington. The role is 26 hours per week, from Tuesday-Friday (9am-4pm). Terms and conditions are governed by the Archdiocese of Melbourne.

Key Requirements

  • Strong PC skills, in particular Microsoft Office suite of products
  • Familiarity with the Archdiocese IT platform, POL and PACS would be an advantage, however, training can be provided.
  • Well-developed bookkeeping skills (PACS & Xero)
  • Initiative and a capacity to work with a minimum of supervision
  • Maintain records in a tidy and readily accessible manner
  • Maintain confidentiality and security of all records
  • Experience in providing a range of secretarial and office management services
  • Ability to work to timeframes with attention to detail and priorities while handling regular interruptions
  • Good communication skills with ability to relate to a variety of people
  • Team orientation, including ability to work harmoniously with staff and volunteers
  • An understanding of the function of Payroll and the relationship to Industrial legislation such as (Awards, National Employment Standard, Superannuation Guarantee, Taxation etc.)
  • Experience in managing payroll records using a dedicated payroll software package such as Pay3k or similar
  • Familiarity with the Software package “Parish On Line”

Key Responsibilities

  • Provide secretarial and office support services to the Parish Priest.
  • Manage the Shared Calendar of appointments and events.
  • Actively supporting the Parish Priest in the day to day operation of the parish.
  • Develop and maintain a sound working relationship with volunteers and coordinate the volunteer groups where necessary ensuring a strong pastoral focus in the parish.
  • Preparing the Parish Bulletin each week.
  • Manage day to day parish payroll activity via PACS
  • Process Payroll via Pay3K for all Staff (Does not include payment into Bank, payments are done by CDF)
  • Responsible for accounts payable, accounts receivable, payroll and cash flow. Bring all Parish accounts to financial statement stage
  • Maintaining all Staff leave taken and accrued in Pay3K
